More efficient property management, with measurable impact

AI, increasing cost pressure and higher expectations from tenants and employees are changing the conditions for property management.

Efficiency isn’t about new systems or digital tools. Real impact requires clear processes, quality-assured data, coordinated ways of working, and governance that holds it all together.

Three prerequisites for lasting efficiency

  • Structured data and processes: Common definitions, the right data quality and clear flows lay the foundation for analysis, follow-up and AI.

  • Start from tenants and employees: Ways of working should be designed around tenants’ needs and the day-to-day reality of property management, finance, operations and customer service.

  • Coordination, governance and accountability: Clear roles, shared service descriptions and a smart division of responsibilities reduce duplicated work and create scalability.

From identified potential to impact

When property management is developed with tenant value and the employee perspective in focus, it creates the conditions for real impact on costs, customer satisfaction and the business. Avanti recently supported a major property company in identifying efficiency measures in financial property management, with a potential annual impact of SEK 18.2 million. The time freed up creates more room for value-adding work in the customer relationship, such as advisory services.

Our approach:

  1. Understand the current state and experience: Review service delivery, ways of working and processes, and analyse the tenant and employee experience to identify priority processes.

  2. Deep-dive into processes: Run an in-depth process analysis to identify improvement needs, and create a service blueprint covering roles, systems and touchpoints.

  3. Define the target state and actions: Develop a long-term target state and an action plan with both quick wins and strategic initiatives across ways of working, digitalisation and governance.

  4. Implement and follow up: Embed new ways of working in daily operations and set clear KPIs to measure impact over time.
